How to use it

  1. 01

    Count the attendees

Enter how many people attend, including the organiser.

  2. 02

    Add their cost

Enter an average hourly rate, or an average annual salary and the calculator converts it at 2,080 working hours a year.

  3. 03

    Set the length and frequency

Choose how long the meeting runs and how often it repeats to see the cost per meeting and per year.

Making meetings worth what they cost

Invite fewer people

Each extra attendee adds their full time to the cost. If someone only needs the outcome, send them the notes instead.

Default to shorter meetings

Meetings expand to fill the time booked. A 25-minute default often covers what used to take 30, and the gap helps the next meeting start on time.

Review recurring meetings

A weekly meeting that made sense a year ago may not now. The annual figure is a good prompt to ask whether it still earns its place.

Cost is only half the picture

A meeting that closes a deal or unblocks a team is cheap at almost any price. Use the figure to judge value, not to avoid meeting at all.

FAQ

Meeting cost questions

Cost per meeting is the number of attendees multiplied by their average hourly rate and the meeting length in hours. The yearly cost multiplies that by how many times the meeting happens in a year.

By dividing it by 2,080 — 40 hours a week for 52 weeks. Real working hours vary by country and contract, so treat the result as an estimate.

If you want the full cost to the business, yes — salary alone understates it. Add your organisation's typical uplift to the hourly rate before entering it.

No. The calculator is free to use and needs no account.
