How to use it
- 01
Describe the meeting
Add a title, the date and start time, the length, and the time zone the time is in. A location and notes are optional.
- 02
Check the time
The result shows the meeting in its own time zone and in UTC, so you can check it before anyone receives it.
- 03
Download or copy
Download the .ics file to attach to an email, or copy a Google Calendar or Outlook link to paste wherever people will click it.
Calendar holds people keep
Send it when the meeting is agreed
A meeting that is in someone's calendar is harder to forget than one that lives in an email thread. Send the calendar file with the confirmation.
Say exactly where
A room name, a stand number, or a video link in the location saves a message on the day. Add directions to the notes if the venue is hard to find.
Mind travel across time zones
Calendar apps show times in each person's current zone. For an in-person event, add the venue's local time to the notes so travellers are not caught out.
Make rescheduling easy
Add a line to the notes saying how to move the meeting. People who can reschedule easily are more likely to move a meeting than simply miss it.
FAQ
Calendar file questions
A standard calendar file. Apple Calendar, Google Calendar, Outlook, and most other calendar apps can open it and add the meeting it describes.
The time you enter is read in the time zone you choose, and the file stores it in UTC. Each calendar app then shows the meeting in its owner's own time zone, so attendees elsewhere see the correct local time.
No. A link opens the person's own calendar with the meeting filled in, ready for them to save. It does not email anyone or reserve a room.
Google Calendar and Outlook links cannot set a reminder, so each person's own default reminder applies. The .ics file carries the reminder you choose.
No. The generator is free to use and needs no account.
